IBN and MS Project: Import/Export


There are two different ways to convert project data between IBN and MS Project: import/export and synchronization.

Import/Export mechanism allows for limited conversion of IBN project information to MS Project and vice versa. To access import/export tools click “Actions – MS Project Data Exchange” on a “Project View” page.

“Export” option creates .xml file with a project’s data that can be open in MS Project. “Import” option converts project information from .xml file with MSP project to IBN. During import procedure all current IBN project information is removed. Instead, the MSP project’s calendar, task structure (including titles, links, types, priorities, statuses and dates) and resources are imported. Check chapter “1.7.10 Synchronization with MS Project” of “IBN 4.7: User Guide” for details of the procedures.

Note that some system information is not transferred during import and export procedures. This means that if you import a project to IBN and then export it back to MS Project, you will not get the same MSP project.

Thus, import and export procedures are appropriate if you want to work in IBN on a project that was created in MS Project or vice versa. If you want use both IBN and MS Project you would better switch to synchronization mode.

If you want to use both IBN and MS Project tools working on a project (for example, plan in MS Project and collaborate in IBN), use synchronization mode. The main purpose of using synchronization mode is to allow for switching from IBN to MS Project and back without any loss of information, unlike standard export and import procedures.

 What Data can be imported from MS Project

   

Calendar: project calendar is imported according to base calendars.

Resources: resource name and code are imported. While importing process, the system tries to set the correspondence between existing resources and project team

Structure of Tasks: tasks titles, positions, priorities, types, statuses, actual end dates, notes, start and end dates are imported. Time of task completion is equal to its duration

Relations between Tasks: relations of “end – start” type and lags between tasks

Import process is finished with recounting deadlines according to all limitations and actual start/end dates.
